The Diocese of London is hiring a permanent full time Ecclesiastical Notary to join the staff of the Marriage Tribunal.
JOB SUMMARY
Reporting to the Director of the London Branch Office, Catholic Marriage Tribunal, the full time Ecclesiastical Notary is responsible for the establishment and on-going administrative management of cases as presented to the Marriage Tribunal.
Duties may include but are not limited to:
management of all case documents and files during the instruction of the case
interacting and preparing of cases for transferring and/or forwarding to other tribunals, experts and/or assessors
transcribing and typing of testimonies
creating and updating of annual reports
providing information and documentary support for Priests, Parishes and the Faithful
general office support, including office reception, answering telephone and email inquiries, processing of invoices, filing, mail, and courier management
REQUIRED SKILLS and QUALIFICATIONS:
Post-secondary degree or diploma in Office Administration, Legal Assistant, or equivalent education and/or experience
minimum of 5 years prior administrative experience in a professional office environment
excellent communication skills, both written and verbal, including advanced listening skills along with experience communicating tactfully in a professional and diplomatic manner
strong knowledge and experience using Microsoft Office products including Word, Excel, Power Point, PDF, and Publisher; capable of operating effectively in a multi-software environment; proficient operating in database programs
prior experience operating dictating systems is preferred
experience in the preparation of professional business memos, letters, and other formal communications
excellent organizational skills with the proven ability to prioritize
meticulous attention to details is required
knowledge of the Roman Catholic Church organization and operating structure would be beneficial
This full-time position works 35 hours per week (7 hours paid per day). Regular business hours are Monday through Friday, 8:30 AM to 4:30 PM.
