Position: Full-time Parish Secretary, Amherstburg – Harrow Catholic Family of Parishes Work Location: Amherstburg-Harrow Catholic Family of Parishes – primary location: St. John the Baptist Parish, 225 Brock Street, Amherstburg, Ontario Commitment: 28 hours per week (anticipated schedule Tuesday – Friday; 9:00 am – 4:30 pm with 30 minutes unpaid lunch break) Compensation: Salary commensurate with experience and Diocesan policies. POSITION SUMMARY: Reporting to the Pastor, the Parish Secretary provides a welcoming and professional first contact for visitors and callers to the Amherstburg-Harrow Catholic Family of Parishes. The Parish Secretary provides a broad range of administrative support and ensures the accurate and timely completion of all office clerical functions.
SUMMARY OF DUTIES:
Provide administrative support regarding all aspects of the operation of the family of parishes
Administrative support duties include, but are not limited to:
Organize, communicate, prepare agendas, record minutes, and follow up on action items as required for meetings and/or events
Maintain accurate records, databases, certificates and/or files for all family of parishes related activities
Attend to appointments, phone messages, travel arrangements and meetings schedules as required
Manage correspondence, mail, reports, supplies, purchasing and expenses, including petty cash
Maintain the family of parishes website and social media platforms
Prepare and/or distribute communications, including parish bulletins and weekend mass files
Other duties of a similar nature as assigned by the Pastor
QUALIFICATIONS AND REQUIREMENTS:
College diploma in a related field of study and/or related secretarial, administrative assistant experience
Minimum of 2 years of experience in a professional administrative environment
Ability to maintain strict confidentiality of highly sensitive materials
Advanced hands on working knowledge in the latest versions of Microsoft Word, Publisher, Excel, PowerPoint, Sharepoint, etc.
Excellent interpersonal, planning, organizational and communication skills
Collaborative, supportive, flexible team player with a high degree of initiative
Resourceful self-starter with thorough attention to detail with a desire to produce quality projects and results
Friendly, hospitable, and professional representative of the Diocese of London at all times
An understanding of and desire to support and promote the mission of the Diocese of London
A police record check as deemed suitable by the Diocese of London will be required of the successful candidate.
